DUTIES
The Operations Assistant is responsible for creating and sustaining efficient administrative practices to ensure that our project logistics are done promptly and efficiently. This position reports directly to the Co-Owners and supports the Operations Manager and Project Management Team.
This unique position deals with the arts, advertising, marketing, and primarily operations. The right person for this job will bring a passion for the company, creativity, an upbeat attitude, and, most importantly, humility.
Responsibilities include but are not limited to the following:
OPERATIONS AND PRODUCTION:












Answer the office phone if/when the Office Assistant is out
Update dashboard of internal projects/flow/priorities/calendar
Systematize and maintain online spreadsheets
Arrange travel bookings for our paint and office team when needed
Arrange equipment rentals, materials, etc
Arrange transportation for projects
Arrange other miscellaneous logistics
Provide support to the Operations Manager with communicating and travel arrangements with the paint crew during off hours and some weekends
Work closely with the Operations Manager and Company owners to oversee daily business operations
Assist with updating our schedule with upcoming campaigns
Organize and complete production sheets for each project
Help update and maintain project checklists through management systems (Slack and Trello)
HUMAN RESOURCES AND TALENT MANAGEMENT:



Maintain employee certification records and scheduled classes for new certifications
Assist with payroll editing
Flag and look out for any potential new team members

This is an FT remote position with an option to work out of our occasionally
Brooklyn office if you reside in NYC

MINIMUM QUALIFICATIONS

Experience: 1-2 years experience in an office or administrative role, preferably in a startup environment
Organized: Able to prioritize the rapidly evolving goals and tasks of an entrepreneurial environment
Communicator: Strong communication and presentation skills in any corporate/cultural environment
Creative: Rapid problem-solver and a strong contributor to company and client brainstorming



ADDITIONAL DESIRED QUALIFICATIONS:





Associate’s Degree
Team Player - communicative and naturally inclined to support your team
Art Enthusiast - familiar with current popular art & culture
Software: MS Office, Slack, Google Drive, and experience with Adobe applications (specifically Photoshop and Illustrator) a plus
Trello or another project management platform is a plus
